Privacy Policy
This policy explains what Whitham Print Services does with the information you provide when you request a Print Spend Review. It is written to be straightforward rather than legalistic.
Who we are
Whitham Print Services Ltd is the data controller for the information submitted through Print Spend Review. BuyerAI is the print procurement technology used to structure and assess the purchasing information you provide.
What we collect
- Contact information — your name, job title, organisation, work email, phone number and the background details you give us (annual print spend band, organisation type, how you heard about us).
- Uploaded documents — invoices, quotations, spend exports, purchasing histories, pricing schedules and specifications.
- Context you choose to give — how you buy print, what the pricing includes and any particular requirements.
- Campaign information — where your visit came from, so we know which activity led to the enquiry.
How we use it
We distinguish between three kinds of information:
- Original uploaded documents are used to prepare and support your Print Spend Review, to answer questions about it and to meet our record-keeping obligations. They are not shared with other customers and are not published.
- Identifiable contact information is used to complete your review, deliver the report and correspond with you about it. It is only used for marketing if you have separately opted in.
- Derived or anonymised pricing and specification data — for example a product type, specification, quantity and price point with your identity and your supplier’s identity removed — may be retained and used for benchmarking, market analysis and improving the accuracy of the service. This derived data cannot be used to identify you, your organisation or your suppliers.
Lawful basis
We process your information to take steps at your request before entering into a contract (completing the review you asked for), and on the basis of our legitimate interest in analysing print market pricing and improving our service, using derived or anonymised data only. Marketing emails are sent on the basis of consent, which you can withdraw at any time.
Who sees your information
Your submission is accessible to Rob Whitham and any authorised reviewer at Whitham Print Services. Documents are stored in a private, access controlled store and are never made publicly available. We do not sell your information, and we do not pass your documents or contact details to print suppliers without your agreement.
Marketing
Marketing consent is optional and is never required to receive your review. Where you opt in, we record the date, time and wording of the consent you gave. Every marketing email includes an unsubscribe link.
Your rights
You can ask for a copy of the information we hold about you, ask us to correct it, ask us to delete your documents and contact details, or object to further processing. Contact us using the details below and quote your PSR reference where you have one.
